Operations Manager

This position involves directing and coordinating the resources of the Operations Department to align with organizational policies and objectives, ensuring an efficient and deadline-driven work environment. You will collaborate with executive management to establish growth-oriented goals and oversee the daily activities of the team. Responsibilities include preparing budgets, schedules, and reports, as well as leading high-impact corporate projects for both new and existing business lines, requiring independent thinking and self-direction.

Major Duties and Responsibilities:

  • Oversee daily securities and financial processing activities for a multi-product financial services organization.

  • Develop, implement, and maintain processes and procedures that adhere to best practices and controls, optimizing efficiency and managing risk.

  • Allocate staff and manage projects by prioritizing the needs of customers, employees, and the organization.

  • Maintain and monitor staffing levels, knowledge, skills, attributes (KSA), and motivation to meet organizational requirements.

  • Drive performance metrics for operations, balancing efficiency and effectiveness, and providing reports and dashboards for high-level key indicators.

  • Lead and manage projects that improve operational processes and procedures, expanding product services through collaboration with business line managers, IT, and vendors.

  • Perform other duties as necessary.

Skills & Requirements:

  • Bachelor’s degree or equivalent work experience.

  • Self-motivated, dependable, adaptable, and proactive, with strong leadership capabilities.

  • Ability to work under pressure and adapt to fluctuating work volumes.

  • Excellent verbal and written communication skills.

  • Strong problem-solving abilities.

  • Proficiency in Microsoft Office applications.

  • Familiarity with basic IRA regulations and IRS tax forms.

  • Understanding of the securities industry, transfer agent regulations, and paying agent processing.

  • Prior experience in custody operations or investment operations is preferred.

  • Knowledge of AddVantage and Corporate Universe systems is a plus, but not required.
