Payroll Associate/Specialist

A prominent hedge fund is seeking two experienced payroll professionals to support payroll operations across the Americas. One role is for a Payroll Associate based in New York City, and the other is for a remote Payroll Specialist. Both positions are integral to the accurate and compliant processing of payroll for more than 2,000 employees, including U.S.-based staff and internationally mobile professionals.

These roles offer the opportunity to work within a high-performance environment that values accuracy, agility, and collaboration across departments such as HR, Benefits, Compensation, Finance, Legal, and external payroll partners.

Key Responsibilities:

  • Execute bi-monthly payroll cycles for employees in the U.S., Puerto Rico, Canada, and select international locations.

  • Review and reconcile payroll data to ensure accuracy and adherence to regulatory requirements.

  • Coordinate with cross-functional teams to gather necessary payroll inputs and resolve related issues.

  • Manage employee onboarding and payroll setup, including reviewing tax elections and compliance forms.

  • Address employee payroll inquiries with professionalism and discretion.

  • Maintain payroll records and support reporting obligations for internal and external stakeholders.

  • Oversee data integration processes related to benefits, retirement plans, timekeeping, and accounting systems.

  • Engage with third-party vendors to support region-specific payroll processes such as Canadian and expatriate payrolls.

  • Contribute to payroll tax filings, reconciliations, registrations, and resolution of tax notices.

  • Participate in ongoing projects and initiatives to enhance payroll processes and controls.

Role Focus:

While both positions are aligned under the same payroll function, they differ slightly in focus:

  • The Payroll Associate (NYC) will concentrate on U.S., Puerto Rico, and Canada payroll, including management of third-party vendor processes, off-cycle payments, and time tracking.

  • The Payroll Specialist (Remote) will focus on international assignments, including expatriate and shadow payrolls, coordination for globally mobile employees, and compliance with international tax requirements.

Ideal Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related business discipline.

  • 3 to 5+ years of hands-on payroll experience, ideally within a fast-paced, multi-jurisdictional environment.

  • Familiarity with a cloud-based payroll system (experience with Workday is a plus).

  • In-depth knowledge of federal, state, and local payroll regulations.

  • Proficiency in Microsoft Excel, with comfort working with large data sets.

  • Strong problem-solving abilities and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to work independently, prioritize tasks, and adapt in a dynamic environment.
